The general ledger report works in two ways. Without an account, it summarises every account that moved in the period. With an account, it lists that account's entries one by one with a running balance, which is how you trace a figure back to the journal entries behind it.
Summary of all accounts
Open Reports & Analytics › Accounting Reports › General Ledger Report.
Set the period in From and To.
Optional: choose a branch in Branch ID. Empty means your current branch.
Leave Account ID empty and select Apply.
The table shows one row per account with Code, Account, Opening, Debit, Credit and Closing. Select a row to open that account's detailed account statement.
Entries of one account
In Account ID, search for and choose a posting account.
Select Apply.
The table now lists every entry in date order:
Column | Meaning |
|---|---|
Date | The entry date. |
Entry | The journal entry number. Use it to find the entry in journal entries. |
Description | The entry's description. |
Debit, Credit | The amount of the line. |
Balance | The running balance after the line, starting from the balance brought forward before From. |
A Running balance chart above the table plots the balance over the period.
The tiles
Total debit and Total credit: the movement in the period.
Turnover: debit plus credit, a measure of how active the account or the ledger was.
Export
Export Excel and Export PDF include every row and the totals.
Common questions
Which accounts can I choose? Only posting accounts, the lowest level of the chart of accounts, because entries are posted to them.
Why does the running balance not start at zero? It starts from the account's balance before From, so that the last line equals the real balance on To.
