Some offers and awards need a second pair of eyes before they leave the company: a low margin, a large discount, non-standard terms, a big contract. The approvals inbox shows everything waiting for you in one place, so nothing is held up because an approver did not know it was there.
Before you start
You need the permission to approve offers, awards or both. Your administrator grants it.
Offer approval rules are set in CRM settings on the Offer approval rules tab.
Open the inbox
Open CRM › Projects & Tenders › Approvals. The page is titled Approvals and lists the offers and awards waiting for your decision.
Each row tells you:
whether it is an Offer or an Award;
for an offer, which step of the approval you are deciding, or Single sign-off;
for an award, whether it follows a Workflow or a Single sign-off;
how long it has been waiting since;
the figures that matter: the base value, and for offers the discount, the margin and a Non-standard terms flag.
Select Open the opportunity to read the deal before deciding. When nothing is waiting, the page says "Nothing is waiting for you."
Decide
Select Approve or Reject on the row.
Add your Comments. They are optional when you approve, and required when you reject.
Select Confirm.
What happens next:
Approving an offer moves it to the next step, or approves it when this was the last step. The offer owner can then send it to the client.
Approving an award moves it to the next step, or approves it at the last step. Final approval creates the customer when the organisation is not one yet.
Rejecting returns the offer or award to its owner, who can edit it and submit it again. Your reason is kept in the approval trail.
You can also approve or reject from the offer page or the award page; the result is the same.
Where the history is kept
Every decision, with the approver, the date and the comments, appears on the Approval trail tab of the offer and on the Approvals tab of the award.
Common questions
An offer I expected is not in my inbox. Why? It may be waiting for a different step or approver, it may have been recalled to draft, or no rule applied and it was approved on submission. Open the offer and check its approval trail.
Who sees the inbox? Users with the permission to approve offers or awards. Others do not see the menu item.
