A stock count compares what is on the shelves with the books and corrects the books. The system quantity is frozen when the count starts, so sales and receipts can carry on while you count.
Start a count
Go to Inventory > Stock Counts and select Start a stock count.
Choose the warehouse and the date, then select Start counting.
Every item stocked in that warehouse is listed with its frozen System quantity. A warehouse can have one count in progress at a time.
Enter the counts
Open the count. Type what you find in Counted for each item. Leave an item blank if it was not counted.
Use the Not counted and With a difference views to work through the list, and search for an item by name or code.
Select Save counts as often as you like.
Post the count
Select Post count. For each counted item, the difference from the frozen figure is applied to today's quantity, so movements made while counting are kept. The value of the differences, at the moving-average cost, posts in one journal:
a shortage debits the branch's stock variance account and credits the warehouse's stock account;
a surplus does the opposite.
Select Cancel count to drop a count without posting anything.
Common questions
What if I count an item twice? Enter the total. Each save replaces the counted quantity.
Do items left blank become zero? No. Only counted items change.
