The award is what you signed with the client; the project is where the work is costed and billed. Creating the project from the award saves typing and keeps the two linked, so anyone looking at the award can open the job, and the project remembers which contract it came from.

Before you start

  • The award must be approved or handed over. A draft or rejected award offers no project yet. See Turn a won deal into an approved award.

  • You need permission to manage projects, and your plan must include the Projects & Contracting module.

  • An award has one project. If it already has one, the award shows Open project instead.

Steps

  1. Open CRM › Projects & Tenders › Awards and open the award.

  2. Select Create project.

  3. Choose what to do:

    • Create a new project: check the Code. It starts as the award number; change it to the code your team uses for jobs.

    • Link a project that already exists: choose the Project, for example one you set up before the award was signed.

  4. Select Create project or Link project.

The project opens. From now on the award shows Open project, which takes you straight to it.

What is copied

A new project takes from the award:

  • the name and the customer;

  • the contract value;

  • the start and end dates;

  • the retention and advance percentages.

It starts as a draft. Add its tasks, check the details, and select Change status › Start project when work begins. See Create and manage projects.

Linking does not change the existing project. It only records which award the project belongs to.

Common questions

I linked the wrong project. Ask your administrator to correct the link. Costs already charged to the project stay where they are.

Can several awards share one project? No. Each award points to one project, and a project created from an award belongs to that award. For a variation or extra scope on the same job, record the variation on the award and keep charging the same project.

What if the job has no award? Create the project directly from Projects › Projects. The CRM is not required.
