Labour, equipment and site cash

Record equipment use on projects

Mark the assets that work on sites with an hourly or daily rate, record the hours or days each machine worked on a project and its fuel, and let the monthly costing charge it.

Your own equipment costs money whether it digs or not: depreciation, maintenance and the operator. Charging each project for the hours a machine worked on it puts that cost where it belongs, at a rate you set per machine.

Set the equipment and its rates

  1. Go to Projects > Equipment Logs and open Equipment and rates. This tab needs permission to run labour and equipment costing.

  2. Find the asset and select Edit rates.

  3. Turn on Site equipment and enter the Rate per hour, the Rate per day, or both.

  4. Save.

Only assets marked as site equipment can be logged. The assets themselves are kept in fixed assets.

Record use

  1. On Logs, select Record use.

  2. Choose the equipment, the project and, if needed, the task.

  3. Enter the day and how long it worked: Hours or Days.

  4. Add the Fuel (litres) and Fuel cost if you track them, and the Operator.

  5. Save.

Equipment logs with each machine's hours on a project, its fuel and its cost

The cost of each log is its hours at the rate per hour plus its days at the rate per day.

Charging it to the projects

The monthly costing charges the month's logs to each project and task. See charge labour and equipment to projects. After that, the month's logs are locked; reverse the run to change them.

Common questions

Is the fuel charged too? The fuel is recorded on the log for follow-up. Fuel you buy is charged when its purchase is posted, so it is not charged a second time here.

Can I delete a log? Yes, until its month is charged to the projects.
