When a price changes unexpectedly or an invoice disappears, the audit trail tells you who did it and when. It records every addition, edit and deletion across the system, with the old and new value of each field that changed.

Open the audit trail

  1. Open Administration › System › Audit Trail.

  2. Read the headline figures for the period: Total actions, Active users, Page views and Deletions, each compared with the previous period.

  3. Most active modules and Most visited pages show where the work happened.

Find a change

  1. Set the period with From and To.

  2. Narrow it down with any of the filters:

    • User: who made the change.

    • Action: Created, Updated or Deleted.

    • Module: the area of the record, typed as the screen shows it, for example sales_invoices.

    • Record ID: the document number or ID, for example INV-2026-0001 or 123.

    • Search: any user, field or value.

  3. Select Apply.

  4. Click a row to see exactly what changed. Change details lists each Field with its value Before and After.

The analysis panel

The Analysis panel reads the same period and points out what deserves attention: security and risk findings, unusual activity such as many deletions in a short burst, a summary, and recommended actions. Select View on a finding to filter the log to the rows behind it. The panel also shows Actions per day, the Busiest day and the number of Modules touched.

Export the log

Select Export Excel or Export PDF in the toolbar. The export follows the filters you applied, which makes it easy to send an auditor exactly the period and module they asked for.

Good practice

  • Review deletions weekly. A deletion of a posted document or a customer is rarely routine.

  • Give the audit trail permission to owners and internal audit only, through their group.

  • Before you deactivate a user who leaves, export their activity for your records.

Common questions

A change shows no field details. Some entries record only that a record was added or deleted. Change details then says no field-level details were recorded.

Can anyone edit or delete the audit trail? No. The screen is read-only.
