When someone says "I never got the email", the outbox gives you the answer. Every notification the system sends is written to the outbox first, one row per recipient and channel, and stays there with its delivery status, the number of attempts and the error the gateway returned.
Find a message
Open Administration › System › Notification Admin and select the Outbox tab.
Narrow the list with the two filters: All channels lets you pick one channel, and All statuses one status.
Read the row: the Type, the Channel, the Recipient, the Status, the Attempts made out of the maximum allowed, and the Error when there is one.
Use Previous and Next to move between pages.
What the statuses mean
Status | Meaning |
|---|---|
Pending | Waiting to be sent. |
Retrying | A first attempt failed; the system will try again. |
Sent | The channel accepted the message. |
Read | The recipient opened it in the app. |
Failed | All attempts failed. The Error column says why. |
Skipped | Not sent on purpose, for example because your plan's monthly limit for that channel was reached or push messages are switched off for the recipient. |
Resend a message
Find the row, usually a failed one.
Select Resend at the end of the row.
The message Resend queued confirms it. The row is attempted again shortly, and its status updates when it is sent.
Common errors
The recipient has no email or mobile. Add it to the user, then resend.
The gateway rejected the message. The SMS, WhatsApp or email account behind your workspace refused it, for example because its balance ran out. Contact support.
The monthly limit was reached. Your plan's allowance for that channel is used up for the month, so the row is skipped. In-app notifications are not affected.
Common questions
The user says they got nothing, but the row says Sent. The channel delivered it. Ask the user to check their spam folder for email, or their phone's notification settings for push messages.
Can I delete outbox rows? No. The outbox is a delivery record and is kept as it is.
The outbox is empty. No notification has been sent in your workspace yet, or the filters exclude everything. Reset both filters to all.
