An appraisal cycle is the company-wide window in which employees are scored: a quarter, a half year or a year. Inside an active cycle you score each employee's KPIs, collect 360° feedback, and, from the same screen, record the promotions and salary revisions that follow.

Before you start

  • Define the KPIs you want to score under KPIs. The scoring sheet lists the KPIs whose measurement period overlaps the cycle.

  • Agree the cycle's period and its two deadlines: one for submissions and one for reviews.

Create and activate a cycle

  1. Open People › Talent › Appraisal Cycles and select New Cycle.

  2. Enter the Name and the Name (Arabic), and choose the Cycle Type: annual, semi-annual or quarterly.

  3. Set Period Start and Period End, then the Submission Deadline and the Review Deadline. The period end must be after its start, and the review deadline after the submission deadline.

  4. Select Save. The cycle is created as a draft.

  5. When you are ready, open the row's Actions menu and select Activate, then confirm.

Only one cycle is active at a time. Activating a cycle closes any other active cycle. Deactivate returns an active cycle to draft. A draft cycle can be edited, and it can be deleted only while no scores or feedback are recorded against it.

Score KPIs

  1. On the cycle, open Actions and select Score KPIs.

  2. Choose the Employee. The sheet lists that employee's active KPIs, plus company-wide and department KPIs, whose period overlaps the cycle. Under each KPI you see its current value against its target.

  3. Enter a Self score, a Manager score, or both, for each KPI you want to score.

  4. Select Save.

The system blends the two scores for each KPI: 40% of the self score plus 60% of the manager score. When only one of the two is entered, that score is used on its own. Saving again for the same employee and KPI in the same cycle replaces the earlier scores.

Collect 360° feedback

  1. On the cycle, open Actions and select 360° Feedback.

  2. Choose the Employee and the Rater Type: self, manager, peer or subordinate.

  3. Enter the Overall Rating (0–10), then Strengths, Areas for Improvement and Comments.

  4. Select Save.

Each person submits one set of feedback per employee per cycle. Submitting again updates it.

Record a promotion or salary revision

  1. Select Promotions at the top of the screen and choose the Employee. The History shows every earlier change for that person.

  2. Under Record Promotion, choose the New Designation and enter the New Salary.

  3. Set the Effective Date, pick the Change Type (promotion, demotion, lateral move or salary revision) and add a Reason.

  4. Select Record Promotion.

What happens next

  • When the effective date is today or earlier, the employee's designation and basic salary change at once.

  • When the effective date is in the future, the change is saved and the system applies it automatically on that date.

  • Each payroll run uses the basic salary in effect on the last day of its pay period. A run for an earlier month, even one processed again later, keeps the salary that applied in that month.

Common questions

How do I undo a promotion? Record a new change, for example a salary revision back to the earlier figure. The history keeps both entries.

Why does the scoring sheet say there are no KPIs? The employee has no active KPI, and there is no company-wide or department KPI, whose period overlaps the cycle dates.
