The attendance screen is the register payroll reads from. Each employee has one record per day, with a status, the clock-in and clock-out times, the hours worked and any overtime. Present days, absences, missing minutes and overtime on every payslip come from here, so complete and check the whole period before you process payroll.
What the screen shows
Open People › Time & Attendance › Attendance Management.
Today's overview counts who is Present, Late and Absent today, and who is Currently clocked in.
If your login is linked to an employee record, My attendance shows your own punches with Clock in and Clock out buttons.
The summary tiles total the register as filtered: Present days, Late days, Half days, Absent days, On leave and Total hours.
Filter the register by date range, employee or status, or search by employee name or number.
Each row shows the Employee, Date, status, Clock-in time, Clock-out time, Punch location, Hours and Overtime. A punch sent later from a phone that had no signal carries the Offline sync mark and the time the server received it.
How the status is decided
Records from devices, phones, imports and Add attendance are graded automatically against the employee's shift:
No clock-in on a working day is Absent. On an approved leave day, a weekend or a holiday it is On leave.
A clock-in after the start time plus the grace period is Late.
A day with fewer than half the scheduled hours is Half day.
Any other worked day is Present.
Add a missing day
Select Add attendance.
Choose the Employee and the Date, enter Check in and, if known, Check out, and add Notes.
Select Save. The system grades the day itself.
Each employee can have only one record per day. If the day already exists, edit it instead.
Set a status yourself
Use Manual entry when you need a specific status, for example to record a half day agreed with the manager.
Select Manual entry, choose the Employee, the Date and the status.
Enter the Clock-in time and Clock-out time if you have them, add Remarks and select Save.
Manual entry creates the day or replaces the existing one. The status you choose is kept; the hours are recalculated from the times.
Mark an absence
Select Mark absent, choose the Employee and the Date, and save. If the employee has approved leave on that date, the system records the day as On leave instead.
Correct or delete a day
To correct times, open the row's actions and select Edit. Change the date, times or notes and save; the day is graded again.
To remove a day, select Delete and confirm. The day leaves the register, the reports and payroll.
Rules to know
Dates and times cannot be in the future.
New records can be added only for active employees. Past records of an employee who has left can still be corrected.
A day inside a payroll period that has already been processed cannot be deleted. Handle it as a payroll adjustment. A day whose overtime has already been processed cannot be deleted either until that overtime is reversed.
Records you add or edit here need no further approval.
Common questions
Why does a day on approved leave show as On leave without anyone entering it? Approving leave writes the leave days into the register automatically.
An employee clocked in twice by mistake. What do I do? There is only ever one record per day. Edit it and set the correct times.
