The employee profile gathers everything about one person on a single page. Use it before a salary discussion, when an employee asks about their leave balance or loan, or when a manager wants a quick picture of a team member. The profile is for reading: you make changes on the screen that owns each record.

Open a profile

  1. Open People › Employees › Employee Management.

  2. In the employee's row, open the actions menu and select Employee profile.

The header shows the photo or initials, the name, the status, the job title and department, the employee number, the employment type, the Joining date and the Manager. Use Edit to open the employee form, or Back to return to the list.

The employee profile tabs, each with a count of its records

The summary tiles

  • Years of service: the time from the joining date to today, in years with one decimal.

  • Gross salary: the Basic salary plus the employee's active allowances.

  • Leave taken (YTD): approved leave days that start in the current year.

  • Loan outstanding: the remaining balance of the employee's active loans.

The salary tiles appear only for users allowed to see salaries.

The tabs

Each tab shows a count of its records, so you know before opening it whether it holds anything. Lists inside a tab page ten rows at a time.

  • Overview: employment, contact, payroll and emergency contact details.

  • Documents: the employee's documents with Category, Expires and a Valid or Expired badge.

  • Assets: company property in the employee's custody, with Asset tag and Assigned on.

  • Payroll: the pay summary, the employee's Loans & Advances, and the payslip history with Slip number, Payroll run, Period, Gross and Net.

  • Leave: Leave balances for the current year per leave type, then every leave request with Leave type, Start date, End date and Days.

  • Attendance: this month's Present days, Absent days and Late days, then each day's Clock in, Clock out, Hours and Overtime. A punch sent later from the mobile app carries the Offline sync mark.

  • Performance: performance reviews with Review Period, Type, Rating and Review date.

  • Team: the employees who report directly to this person. Without any, the tab shows No direct reports.

How the estimated net is calculated

The Payroll tab shows Social insurance, Pending penalties and Estimated net. The estimate is:

basic salary + active allowances − scheduled deductions − employee social insurance − pending penalties.

Social insurance uses the rates and salary cap in HR settings. Pending penalties are penalties in Applied status that no payroll run has deducted yet. Income tax and attendance effects, such as unpaid absence and overtime, are applied only when the payroll run is processed, so the real payslip can differ. See how payroll is calculated.

Common questions

The profile says I have no permission. Why? Your permission group does not include viewing employee profiles. Ask your administrator to grant it.

Can I approve a leave request from the profile? No. Open leave requests. The profile only lists them.
