HR Settings holds the company-wide rules that attendance grading and payroll use. A change takes effect on the next payroll run you process; runs already processed keep their figures, because each payslip stores the settings it was calculated with.

Change a setting

  1. Open People › HR Admin › Settings. The panel at the top explains how the settings affect payroll.

HR Settings on the Working & Attendance tab with working hours, weekend days and overtime
  1. Choose a tab: Working & Attendance, Payroll, Leave, Social Insurance or Accounting.

  2. Change the values and select Save. The first four tabs save together. The Accounting tab has its own save; see How payroll posts to the general ledger.

Working & Attendance

Setting

What it does

Working hours per day

The expected hours of an employee who has no shift; hours beyond it count as overtime.

Working days per week

Your working week.

Late arrival tolerance (minutes), Early departure tolerance (minutes)

Minutes of grace before a punch counts as late or as an early departure.

Standard start time

The time employees without a shift are graded against. Leave it empty to never mark them late.

Weekend days

Days that are never counted as absent and are not deducted by payroll.

Enable overtime, Include overtime in salary

Whether overtime is recorded, and whether payroll pays it. An employee's own setting overrides these.

Overtime rate multiplier

The rate applied to overtime hours, between 1 and 5 (1.5 by default).

Auto-deduct absences

When on, payroll deducts missed scheduled days at basic salary ÷ the working-days divisor.

Enforce GPS geofence on clock-in

Checks that a mobile punch is inside the employee's work site. A notice shows how many active employees have no work location and could not clock in.

When someone punches outside their work site

Reject the punch, or Accept it and flag for HR review.

Allowed radius (metres), Fallback office location (optional)

The fence radius, and a fallback point for employees whose branch has no work site. Normally you draw offices under Work Sites.

Offline punch alert after (minutes), Refuse offline punches older than (hours)

Limits for punches taken on a phone with no signal: late arrivals go to the review queue, very old ones are refused.

Payroll

Setting

What it does

Payroll cycle, Payroll day (day of month)

Your pay frequency (weekly, bi-weekly, semi-monthly or monthly) and pay day. Each run's period is still the dates you enter when you create the run.

Block size (hours), Multipliers

How unexcused lateness and early departure are charged. Minutes for the period are totalled and billed in blocks; "1, 1.5, 2" charges the first block at the hourly rate, the second at 1.5×, and everything after at 2×.

Leave

Probation period (days), Annual leave (days) and Sick leave (days) are the company defaults. Individual leave types are set up under Leave types.

Social Insurance

Setting

What it does

Statutory figures come from

These payroll settings uses the rates on this tab and the tax brackets of the payroll settings. The branch's country profile takes insurance and income tax from the country profile of each branch, set up in Payroll localization. This choice changes what payroll withholds from everyone.

Social-insurance method

None, Egypt or GOSI. None, the default, deducts nothing.

Employee and employer rates (%), salary cap

Entered separately for Egypt and for GOSI. The rate applies to the basic salary up to the cap; a cap of 0 means no cap.

Common questions

I changed the overtime multiplier. Why did last month's payslips not change? Payslips keep the figures they were processed with. Roll the run back and process it again if nothing is paid yet.

Where do I set the divisors payroll uses? Payroll values a day at basic salary ÷ 30 working days per month, and an hour of missing time at that day ÷ 8 hours, by default. These payroll figures are not on the HR Settings screen.
