The items list is the starting point for everything you do with a product. It shows each item with its code, category, brand, total stock and stock status, and it opens the item's profile, edit form or a copy of it.

Open the list

  1. Open Inventory › Items › Items.

  2. Type in Search by name or code… to find an item by its name or its code.

  3. Use the filters to narrow the list by Category or by branch, and the Date range filter to see items created between two dates.

  4. Select a row to open the item profile.

The items list with name, code, category, brand, total stock and stock status columns

What the columns tell you

Column

Meaning

Name and Code

How the item appears on documents and how you search for it

Category and Brand

Where the item sits in your catalog

Total stock

The quantity across all warehouses, in the base unit

Stock status

In stock, Low or Out of stock, compared with the reorder level

When you filter by a branch, Total stock and Stock status count that branch only. This is the quickest way to see what a single branch is running short of.

Row actions

Open the menu at the end of a row to:

  • View the item profile, with its stock per warehouse, prices, history and movement log.

  • Edit the item. See Edit or clone an item.

  • Clone the item to start a new one from a copy of it.

To add a new item, select Add item. See Create an item.

Tips

  • The list can be exported from the table toolbar. The export follows the search and filters you applied.

  • Sort by any column header that offers sorting to bring the highest stock or the newest items to the top.

  • If an item you expect is missing, clear the filters with Reset and search again.

Common questions

Why is the stock figure different from the item profile? The list shows a single total. The profile splits it by branch and warehouse and also shows the reserved and available quantities. If you filtered the list by branch, it counts that branch only.

Can I delete an item? The items list has no delete action. Turn off Active on the item form to stop using an item while keeping its history.
