A supplier return sends purchased goods back to the supplier. Every return is tied to the purchase invoice line the goods came on, so the system knows the price you paid, the tax and how much can still be returned.

Before you start

  • You need the permission to return items to suppliers.

  • The goods are in the warehouse you are returning them from.

Steps

  1. Open Purchasing › Return Items to Supplier and select New return. The New supplier return panel opens.

  2. Keep the Return type on By item line. To return a whole invoice, see Return a whole purchase invoice.

  3. Choose the Warehouse the goods leave from.

  4. Choose the Item. Only items with stock in that warehouse are offered.

  5. Choose the Supplier you bought the item from.

  6. Choose the Source purchase line: the invoice line the goods came on. Each line shows what is still returnable, for example {qty} returnable, and Purchased {purchased} · already returned {returned} · remaining {remaining}.

  7. Check the Unit. The unit of the purchase line is preselected.

  8. Enter the Quantity. Available in this warehouse: {qty} shows the stock you can send back.

  9. The price comes from the purchase line, net of its discount. To use another price, switch on Enter the unit price manually and fill in the Manual unit price.

  10. Enter the Manual receipt no. (optional) if the warehouse issued a paper slip for the shipment.

  11. Select Save. Supplier return created appears.

Limits the form applies

  • You cannot return more than remains on the purchase line: Exceeds what is left to return on this purchase line ({qty}).

  • You cannot return more than the warehouse holds: Exceeds the quantity on hand ({qty}).

  • Both limits are checked in the item's base unit, so a return in boxes is compared correctly with a stock count in pieces.

What happens next

  • The goods leave the warehouse: on-hand stock for a normal line, reserved stock for a consignment line.

  • The purchase is reversed in the books for the returned quantity.

  • The supplier's balance drops by the returned value including tax, and an item-return row appears in the supplier's ledger.

  • If e-invoicing is on, the return is filed with the tax authority as a debit note.

Review your returns

The list shows the No., Supplier, Item, Unit, Qty, Unit cost and Date. Search with Search by supplier / item. Select View in a row's Actions menu to open the Supplier Return document with the date, branch, warehouse, source invoice, the line with its Unit Cost and Total, and any manual receipt number.
