See who owes you, and whom you owe, by age

The aged receivables and aged payables reports split each customer's and supplier's open balance by how long it is overdue, so you can chase the oldest debts first and plan payments.

Two reports answer the same question from both sides. Aged Receivables Report lists the customers who owe you money; Aged Payables Report lists the suppliers you owe. Both split each balance by how long it has been due, so the oldest amounts stand out.

Steps

  1. Open Reports & Analytics › Accounting Reports › Aged Receivables Report, or Aged Payables Report for suppliers.

  2. Optional: enter As of date to see the position on an earlier day. Empty means today.

  3. Optional: choose a branch in Branch ID to keep only that branch's invoices.

  4. Select Apply.

The age buckets

Each open amount is aged from its due date, set by the invoice's payment terms. When an amount has no due date, such as an opening balance, its transaction date is used.

Current

Total

Total outstanding

The whole open balance.

Two charts sit next to the tiles: By aging bucket shows how the total spreads across the buckets, and Top debtors (or Top creditors on the payables report) shows the eight largest balances. Rows are sorted from the largest balance down.

How the balance is worked out

The report starts from each unpaid invoice and the opening balances. Payments allocated to an invoice reduce that invoice. Payments on account, returns and other credits that are not allocated to an invoice are applied to the oldest amounts first. A customer or supplier with nothing to pay, or in credit, does not appear.

Common questions

Why is a customer's total different from their statement balance? The statement shows the account balance for the period you choose. The aging report shows the open balance on the as-of date across all branches, unless you filter one branch. Run both for the same date to compare.

Why is an invoice from two months ago still under Current? The buckets count from the due date, not the invoice date. An invoice with 60-day payment terms stays current until 30 days after it falls due. Check the payment terms on the invoice.
