Every saved sales invoice, including POS sales, is listed under Sales › Invoicing › Sales Invoices. From the list you can find an invoice in seconds, open it as a formatted document, and print or export it for the customer.

Find an invoice

  1. Open Sales › Invoicing › Sales Invoices.

  2. Type in Search by customer, mobile, phone… to find invoices by the customer's name or phone numbers.

  3. To narrow the list, filter by Customer, Select branch or Select user (the user who created the invoice), and set a Date range with From and To. Use Reset to clear the filters.

  4. Sort by a column header. The list shows Invoice ID, Invoice #, Date, Customer and Total.

Open and print an invoice

  1. In the row's Actions menu, select View.

  2. The invoice opens as a document: your company letterhead, the customer's details, the invoice number, date, payment terms and the user who created it, then the lines and the totals.

  3. Choose the title to print: Sales invoice, or Sales offer when you send the same document to the customer as an offer before treating it as an invoice. The title changes only the printout. The invoice itself stays as it is.

  4. Choose the paper size and select Print, or select PDF to download the document.

What the document shows

  • Each line shows the Unit price and the Net price after the line discount. Discounts are totalled under the lines.

  • Subtotal, Discount, Tax and Grand total.

  • Transaction: the amount and date of the entry the invoice posted to the customer's account.

  • Loyalty points earned on the invoice, when your company runs a loyalty programme.

  • The Note entered on the invoice.

  • Tax information, once the invoice has been filed with the tax authority: the Authority reference, the Seller tax number and Buyer tax number, and a QR code. Scan to verify with the tax authority sits under the code.

The customer-facing number is the invoice reference (for example INV-…), not the internal Invoice ID.

Common questions

Why is the Print button missing? Printing is a permission. Some groups may print an invoice only once. A second print then needs the permission to print more than once.

Why do the figures on a filed invoice look different from the screen I entered? After filing, the document shows the figures exactly as the tax authority received them, so the page and the QR code always agree.

Where is a POS sale? In this same list. You can also find it under Administration › Point of Sale › Sales. See Review and void POS sales.
