The cheques register lists every cheque your branch has received from customers and issued to suppliers, with its amount, due date and status. Most cheques arrive in the register on their own: when you choose Cheque as the payment method on a receipt, a supplier payment, an expense or a refund, the system adds the cheque for you. Use New cheque only for a cheque that did not come through one of those vouchers.

Find a cheque

  1. Open Accounting › Cheques.

  2. Type in Search serial / party / bank to find a cheque by its number, the customer or supplier, or the bank.

  3. Open the filters to narrow the list by Type, Status, Bank reconciliation, Customer, Supplier, Sales invoice or Purchase invoice. Use Date range to list cheques by due date, for example the cheques due this week.

Read the register

  • Direction shows Received for a cheque from a customer and Released for a cheque you issued.

  • Amount is the cheque's value, and Collected is what has been collected from it so far.

  • Status follows collection: Not collected, Partly collected, Collected or Bounced. Cancelled and void cheques show Cancelled and Void.

  • Bank reconciliation shows whether the cheque has been matched to a line of the bank statement: Not matched to bank statement, Matched to bank statement or Bounced.

Select a row to open the cheque. The page shows the cheque details, the Account holding the cheque, the registration journal number, any linked invoice, the list of Collections with their journal numbers, and the statement.

Record a cheque by hand

What happens next

  • The books: a received cheque debits the bank or cash account and credits the counterparty account. A released cheque debits the counterparty account and credits the bank or cash account. The entry is dated today, so the current year's fiscal year must be active for your branch.

  • Collection: a received cheque stays Not collected until you collect it. See Collect or bounce a cheque.

Delete a cheque

Delete a cheque only when it was recorded by mistake. Open its Actions menu, select Delete and confirm. The system reverses the cheque's journal entries. A cheque that has been collected, even in part, cleared or bounced cannot be deleted.

Where does a cheque from a customer receipt appear? In this register, as a received cheque, with the bank account you chose on the receipt as the account holding it.

Can I edit a cheque? No. Delete a cheque recorded by mistake, if it has no collection yet, and record it again.
