Track supplier bonus targets

Record the volume bonus a supplier promises you, by value or quantity, for all purchases or for chosen items, and see when your purchases reach the target.

Many suppliers offer a bonus when you buy above a target in a period: for example 2% back if you buy goods worth 500,000 in a quarter, or a fixed amount for every 1,000 units of one item. A bonus system records that agreement. The system then measures your purchase invoices from that supplier against the target and tells you when you have reached it.

Before you start

  • The supplier must exist. For an item bonus, the items must exist too.

  • Purchases count only when they are recorded as purchase invoices from that supplier.

Create a bonus system

  1. Open Accounting › Supplier Bonus System.

  2. Select New bonus system.

  3. Enter a Name that describes the agreement, and choose the Supplier.

  4. Choose the System type: a bonus tied to one or more items, or a bonus on all purchases from the supplier.

  5. Choose the Period of the agreement, for example monthly or quarterly.

  6. Choose the Target value type: value (money) or quantity.

  7. Choose the Bonus value type: a fixed value or a percentage.

  8. Choose the Apply condition: whether purchase values count before or after tax.

  9. Set Start and End. Only purchase invoices dated in this window count toward the target.

  10. Enter the Target value and the Bonus value.

  11. For an item bonus, add the items under Bonus items with Add item. At least one item is required.

  12. Optional: add a Note, then select Save.

Follow the target

The list shows every bonus system with its Name, Supplier, Period, Target value, Achieved and Active columns. Use Search by name to find one.

The supplier bonus systems list with the target, achieved and active columns
  • Achieved reads Yes once your purchases in the window reach the target. The system works this out from your purchase invoices each time the list loads.

  • How purchases are counted depends on the setup: for a quantity target, the quantities bought; for a value target, the purchase value before or after tax as set in the apply condition; for an item bonus, only the listed items.

  • Select Refresh achievements to recalculate the stored results and the item costs that depend on bonuses, for example after you enter a batch of purchase invoices.

What a bonus does to your figures

While a bonus system is active and today falls between its start and end, the system lowers the expected cost of the covered items by the bonus value or percentage. Sales profitability analyses then reflect the bonus you expect to earn. The bonus does not post a journal entry. When the supplier settles the bonus with a credit note or a payment, record it in the books yourself.

Change or stop a bonus system

  • To change the terms, open the row's Actions menu and select Edit.

  • To stop or restart a bonus system, select Toggle active and confirm. An inactive system no longer affects item costs.

Common questions

Achieved stays No although we bought a lot. Check that the purchase invoices fall between start and end, that they are from the same supplier, and, for an item bonus, that they include the listed items.

Does the Period field change the calculation? No. The start and end dates set the window. The period describes the agreement.
