Chart of accounts and journal entries
Manage the chart of accounts
Browse your five-level chart of accounts as a tree or a table, add a new account under the right parent, and edit an account's name, nature and direction.Which accounts accept postings, and when posting is blocked
The rules every entry in Rocket ERP must pass before it reaches the books - level-5 branch accounts, an open fiscal year and a balanced entry - and what to do when a posting is refused.Record a manual journal entry
Post an adjustment, an accrual, an opening balance or a correction straight to the general ledger with a balanced multi-line journal entry.Find a transaction and open its voucher
Search every journal line in your books by account, batch number, date, category or status, and open the voucher that shows all the lines of one entry with its totals.Transfer money between accounts
Move an amount from one account to another, such as from a cash box to the bank or between two bank accounts, in one balanced entry that checks the source balance first.Approve or reject held journal entries
Review the manual journal entries, transfers and asset postings waiting for approval, then approve them or reject them with an automatic reversing entry.Cost centers in accounting
Cost centers are one shared list for the whole company. Accountants can look them up from the accounting side, and they are created and maintained in the manufacturing module.
Receipts and payments
Receive a payment from a customer
Record money a customer pays on account, in cash, by cheque or through a linked bank or wallet method, with an optional settlement discount. The receipt lowers the customer's balance and posts to the books at once.Settle a sales invoice in full
Record a customer's payment against one sales invoice by its number, so the invoice shows as paid and the receipt posts to the books in the same step.Record other money received
Record money that comes in from anything other than a customer, such as other income, a loan or a capital contribution, and post it against the account you choose.Pay a supplier
Record a payment to a supplier from a cash box, by cheque or through a linked bank or wallet method. The payment lowers what you owe the supplier and posts to the books at once.Record an expense
Record money paid out for rent, utilities, fuel and other running costs, charge it to an expense account, and post the payment voucher at once.Refund a customer for returned goods
Pay money back to a customer for a sales return, in cash, by cheque or through a linked method. The refund is recorded against the return's batch number and can never exceed the value still owed on it.Set up payment methods and their accounts
Decide which payment methods your team can use on receipts and payments, and link bank transfer, card and wallet methods to the bank or cash account of each branch they post to.Track supplier bonus targets
Record the volume bonus a supplier promises you, by value or quantity, for all purchases or for chosen items, and see when your purchases reach the target.
Cheques and banks
Record and track cheques
Keep one register of the cheques you receive and issue, see which are still to collect and which are due, and record a cheque that did not come through a receipt or payment voucher.Collect or bounce a cheque
Move a received cheque into your bank or cash account when it clears, in one go or in parts, and reverse it if the bank returns it unpaid.Reconcile a bank account with its statement
Import your bank statement, match its lines to the transactions in your books, and close the period once the difference between the bank and your ledger is explained.
Fixed assets
Set up asset types
Create the asset categories your company owns, such as vehicles, machinery or computers, and link each one to the accounts its assets and their depreciation post to.Register and manage fixed assets
Add a fixed asset to the register with its cost, scrap value and depreciation method, post its acquisition entry, and follow its book value on the asset card.Post depreciation and dispose of an asset
Charge a month of depreciation to an asset, and remove an asset you sold, scrapped, traded in or donated, with its gain or loss posted automatically.
Fiscal years and closing
Set up fiscal years
Add a fiscal year for each branch and calendar year so that postings are accepted, activate or deactivate a year, and correct or delete a year that has not been closed.Close a fiscal year, and reopen it if needed
At year-end, move the year's revenue and expense balances into the prior-years profit account and lock the year. If a late correction is needed, reopen the year and close it again.
Currencies and group companies
Maintain exchange rates
Record dated exchange rates between your currencies, import them in bulk from a CSV file, and convert an amount at the rate in force on any date.Record and reconcile inter-company transactions
Keep a register of sales, loans, fees and other dealings between companies in your group, match each one to the other company's entry, and mark it reconciled before consolidation.Prepare consolidation eliminations
Record the balanced entries that remove inter-company revenue, balances and profit from the group's figures, then post them once the month's inter-company transactions are reconciled.
E-invoicing
How e-invoicing works in Rocket ERP
Rocket ERP files your sales invoices, POS receipts and returns with the Egyptian Tax Authority (ETA) or ZATCA in Saudi Arabia, in the background, without changing how your team enters documents.Set up e-invoicing and go live
Connect Rocket ERP to the Fiscal Hub, choose the tax authority and the documents to file, decide what happens when filing fails, and switch from test mode to live.Register your branches and POS terminals with ZATCA
In Saudi Arabia, each branch and POS terminal that issues invoices needs its own ZATCA certificate. Follow the five onboarding steps per device, from registration to the production certificate.Read the Tax Compliance dashboard and the go-live checklist
See at a glance how many documents the authority accepted, what is pending or rejected, and which data must still be fixed before you can file live.Track filed documents and their status
Find any invoice, POS receipt or return in the fiscal documents register, see what the authority replied, copy its authority reference, and resend a document that failed.Fix and resend failed e-invoice submissions
Failed Submissions groups every document the authority refused by its reason, explains how to fix each reason, and lets you resend a whole group once the cause is fixed.
