E-invoicing

Set up e-invoicing and go live

Connect Rocket ERP to the Fiscal Hub, choose the tax authority and the documents to file, decide what happens when filing fails, and switch from test mode to live.

Compliance Settings decides which documents Rocket ERP files with the tax authority, where it sends them, and what the system does when filing fails. An administrator sets it up once, rehearses in test mode, and then switches to live.

Before you start

  • Your subscription includes e-invoicing, and your Rocket ERP implementation team has given you the Fiscal Hub connection details: the hub address, an organization ID, an API key and its secret.

  • Your user group has the Compliance Settings permission.

  • Read How e-invoicing works for the three modes.

Connect to the Fiscal Hub

  1. Open More › Tax Compliance › Settings. The screen title is Compliance Settings.

  2. In Fiscal Hub connection, enter the Hub URL, Organization ID, API key and API secret. Enter the Callback secret if your implementation team gave you one.

  3. Select Save, then Test connection. A success message confirms that the system reached the hub, and the card shows the date and result of the last test.

Choose the authority and the mode

  1. In Authority, select the Tax authority: the Egyptian ETA or Saudi ZATCA.

  2. Select the Environment. Use Sandbox while you test against the authority's test system, and Production when you file for real.

  3. Set the Mode to Test mode and select Save. The Tax Compliance menu now appears under More for users with the permissions.

Choose the documents to file

In Documents to file, switch on each document type you must report:

  • Sales invoices — standard and simplified sales invoices.

  • POS receipts — point-of-sale sales, filed as simplified documents.

  • Credit notes — customer returns.

  • Debit notes — in Rocket ERP, returns of goods to a supplier are filed under this switch.

Decide what happens on failure and on print

In Behaviour:

  • Lock filed documents — once an invoice has been filed, it can no longer be deleted. Correct it with a customer return instead. Switch this on before you go live.

  • Block on standard-invoice failure — refuses to save a business (B2B) invoice that cannot be filed. It is the strictest option, but invoicing stops while the authority is unreachable.

  • Block on simplified-invoice failure — the same for simplified invoices and POS receipts. It is not recommended: a simplified invoice is valid when printed, and blocking would stop your tills during an outage.

  • Print QR code — prints the authority QR code on filed documents. Under ZATCA the QR code is mandatory on simplified invoices, so keep it on.

Unmapped tax treatments

Export, zero-rated and reverse-charge sales are filed like any other sale. In Unmapped tax treatments you choose what happens when a line carries one of these treatments and the system cannot match it to an authority code. For Export, Zero-rated and Reverse charge, select File anyway, File and warn or Refuse the document.

Go live

  1. Open More › Tax Compliance › Overview and fix every blocking item in Go-live readiness. See Read the Tax Compliance dashboard.

  2. In Saudi Arabia, finish device onboarding for every branch and POS terminal, and set the Environment to Production.

  3. Return to Compliance Settings, set the Mode to Live, and select Save.

While a blocking check is still failing, the screen shows Live mode is not available yet with the number of checks to fix, and the system refuses to save the Live mode. Once it is accepted, the screen shows Live submission is on.

Common questions

What happens if I set the mode back to Off? The system stops building and filing documents, and the Tax Compliance menu is hidden again. Documents that were already filed stay with the authority.

Where are the ETA signing credentials? For Egypt, your implementation team sets up the ETA client credentials and the signing certificate on the Fiscal Hub. Rocket ERP only needs the hub connection described above.
