Not every amount you receive comes from a customer invoice. Rent from a sub-let office, interest from the bank, a loan, a partner's capital contribution or the sale of scrap all come in through this screen. You choose the account the money is credited to, and the system posts a balanced receipt voucher at once.
Money from customers belongs on Receive a payment from a customer, so that the customer's balance and statement stay correct.
Before you start
The account you credit must be a posting account (level 5) of your branch. Parent accounts do not appear in the list. See Posting rules.
For cash, your user needs a cash box set on the user record by an administrator. The cash goes into that cash box.
For bank transfer, card or wallet, the method must be linked to an account for your branch. See Set up payment methods.
The current year's fiscal year must be active for your branch. The receipt is dated today.
Steps
Open Accounting › Receipts › Other Cash Receipts.
In Account, choose the account the money is for, for example an other-income, loan or capital account.
Enter the Amount.
Choose the Payment method:
Cash goes into your cash box.
For a cheque, enter the Cheque serial no., choose the Bank account that holds the cheque until it clears, and set the Due date.
For a method linked to an account, the line Posts to: shows where the money goes.
Optional: describe the receipt in Note. The note appears on the voucher and in the receipts report.
Select Submit.
A message confirms the posting with the batch number of the journal entry.
What happens next
The books: the account you chose is credited with the amount, and the money account is debited: your cash box, the cheque's bank account, or the account linked to the method.
Cheque: a cheque receipt is added to the cheques register as a received cheque with the status Not collected. Collect it when it clears. See Collect or bounce a cheque.
Reports: the receipt is listed in the receipts voucher report. See List receipt and payment vouchers.
Common questions
Can I split one receipt across two accounts? No. One receipt credits one account. Record two receipts, or post a manual journal entry with several lines.
I get "No account was found to post this payment to." Your user has no cash box, or the method has no linked account. Ask an administrator to set one.
