The Outbound email screen has two jobs. It lets you send an e-mail from the CRM so that it is recorded against the customer or lead, and it keeps the history of every e-mail the CRM has sent - yours, your colleagues' and the campaigns' - with what happened to it.
Send an e-mail
Open CRM › Marketing › Emails and select Compose.
To link the e-mail to a record, choose the Related type - Lead, Customer or Contact - and then the Recipient. Their e-mail address fills To for you. Choose None for an e-mail that belongs to no record.
Check To; it must be a valid e-mail address. Add CC and BCC if needed.
To start from a prepared text, choose a Template. Its subject and body are copied into the form. Only general templates and those written for the chosen record type are offered.
Complete the Subject and the Body; both are required. Replace any
{{...}}variables in the template text yourself, because a single e-mail is sent exactly as written.Select Send.
The system shows Email sent. When the e-mail is linked to a record, an e-mail task is also added to that record's timeline, so the whole team sees the contact.
Read the history
The list shows every outbound e-mail, newest first: To, CC, Subject, the Related record, the Status and Sent at.
Status | Meaning |
|---|---|
Queued | A campaign e-mail waiting to be sent. |
Sent | Handed to the mail server. |
Failed | Could not be sent; the reason is shown on the e-mail. |
Bounced | Rejected by the recipient's mail server. |
Select View on a row to open the Sent email: the full header with BCC, who sent it (Sent by), the Template used, when it was Opened and the Clicked time where recorded, the Error for a failed e-mail, and the body as it was sent.
Common questions
Where do campaign e-mails appear? Here, one row per member, from the moment the blast is queued. Each row shows the body with that member's details filled in once it is sent.
Can I search the history? The list has no search box; it is ordered by date. Open a lead's or customer's timeline to see the e-mails about that record.
The e-mail failed. What now? Open it with View to read the Error. A wrong address must be corrected on the record; a mail server problem should be raised with your administrator.
