Tasks are the CRM's to-do list: the call promised for Tuesday, the demo next week, the visit to a customer's site. Each task has a person responsible and a due date, so nothing depends on someone's memory, and a manager can see what the team has planned and done.

Where tasks come from

  • You add them here, or log them on the timeline of a lead, opportunity or customer.

  • A follow-up on a lead creates a task for the lead's owner.

  • Reps' visits checked in from the field sales screen or the mobile app are recorded as field visits.

  • A campaign can generate a planned call for each of its members. See campaigns.

Add a task

  1. Open CRM › Sales › Activities and select New activity.

  1. Choose the Type: Call, Meeting, Email, Task, Note, Demo, Proposal or Field Visit.

  2. Type the Subject, choose who is Assigned to it and set the Due date. These three are required.

  3. Choose the Customer, the Priority and the Status, and add the Duration (min), the Location and a Description if useful.

  4. Select Save.

Find your tasks

  • Turn on Assigned to me to see only your own.

  • Filter with All types and All statuses, or type in Search activities.

  • The Related to column links to the lead, customer or opportunity the task belongs to.

Complete a task

  1. In the task's Actions menu, select Complete.

  2. Write the Outcome and any Notes, then confirm.

The task becomes Completed with the completion time, and it appears on the related record's timeline.

Campaign calls

A call generated by a campaign asks for a Call outcome instead of free text: No answer, Busy, Call back later, Interested, Not interested, Wrong number, Converted or Do not call again. The outcome updates the member's status in the campaign. Do not call again also records an objection to calls for that phone number, so no future campaign calls it.

Reschedule a task

  1. In the task's Actions menu, select Reschedule.

  2. Pick the New date and confirm.

The task page

Select View to open a task. It shows the Overview, the Related records (lead, customer, opportunity), the Notes & outcome and, for a field visit, the Visit location (GPS) on a map.

Common questions

Why can't I see a colleague's tasks? You see tasks assigned to you and to your team. Users who may view all records see everyone's.

Can I delete a completed task? Yes, with Delete in the Actions menu, but it is better kept: completed tasks are the history of your relationship with the customer.
