Request pricing from pre-sales and turn it into a quotation

A rep asks the pre-sales team to price an opportunity; pre-sales claims and prices the request; the rep turns the priced request into a sales quotation.

When a deal needs a price that the rep cannot give alone - a custom configuration, a project, a large order - the rep raises a quote request on the opportunity. The pre-sales or pricing team works through a shared queue, and the priced request becomes a sales quotation without retyping.

How a request moves

Status

Meaning

Waiting for quotation

Submitted by the rep, not yet claimed.

Processing

A pre-sales user has claimed it and is pricing it.

Quoted

The price is ready.

Converted to ERP

A sales quotation was issued from it.

Rejected

Pre-sales declined it, with a reason.

A quoted request can also go back to Waiting for quotation when the rep asks for a revision.

1. The rep requests pricing

  1. Open the opportunity and go to its Quote Requests tab.

  2. Select Request Pricing.

  3. Fill the Specifications; they are required. Add a Title, the Project / phase and Package if they apply, and attach Tender files or drawings.

  4. Select Submit Request.

The request appears in the pre-sales queue as Waiting for quotation.

2. Pre-sales claims and prices it

  1. Open CRM › Sales › Quote Requests. The list shows each request's Title, Opportunity, Status, who asked (Requested by), who is pricing it (Pre-Sales), the Estimated amount and the Requested date.

The quote requests queue with the status filter and the Claim button
  1. Select Claim on a request to take it. It becomes Processing, and only you or a supervisor can price it from now on.

  2. Open the request. Upload the pricing documents under Documents, choosing the Document type (Pricing sheet or Specification).

  3. Select Provide and enter the Estimated amount. The request becomes Quoted and the rep sees the price on the opportunity.

To decline, select Reject and give the Rejection reason.

3. The rep converts it into a quotation

  1. Open the quoted request, from the list or from the opportunity's tab.

  2. Select Convert to ERP Quote. The sales quotation form opens, filled from the request: the customer and, when an offer answered the request, its item lines.

  3. Review the quotation and save it. The request becomes Converted to ERP and links to the quotation under ERP quotation.

If the price needs to change first, select Request revision, describe What should change and send it. The request returns to Waiting for quotation for pre-sales.

Tips

  • Use the status filter to work the queue: pre-sales starts with Waiting for quotation, reps watch Quoted.

  • When your company uses offers, the request page lists the Offers from this request with each revision, the offer date, Valid until and the total.

  • Requests are also visible to reps in the field sales mobile app.

Common questions

Why can't I price a request? Someone else claimed it. Only the person who claimed it, or a supervisor, can provide the price.

The request says Quoted, but no quotation exists. Is that right? Yes. Quoted means the price is ready. The quotation exists only after the rep converts the request and saves the quotation.
