A job posting is the vacancy every recruitment record hangs on. Candidates apply to it, interviews are held against it, the talent matcher scores people against its required skills, and a hire made from it starts the onboarding template you link to it. Each posting goes through an approval step before it can be published, so nobody can advertise a role that was not signed off.
Before you start
The department must exist. See departments and job titles.
To score candidates later, the skills you require must be in the skills catalogue. See the skills matrix.
If new hires should get a checklist automatically, create the onboarding template first.
Create the posting
Open People › Talent › View Job Postings. The Job Postings list shows every vacancy with its applications and hires.
Select New Posting.
Enter the Job Title and choose the Department. Both are required. Add a Job Code if you use internal codes.
Choose the Employment Type and enter the number of Positions you want to fill.
Enter the Minimum salary and Maximum salary if you budget a range. The maximum cannot be less than the minimum.
Choose the Company site and type the Location text.
Under Required skills, add each skill with its minimum level (1 to 5) and tick Mandatory for the skills a hire must have.
Choose the Onboarding template a hire from this posting will run, and set the Application Deadline.
Switch on Featured or Urgent if the vacancy needs to stand out, then select Save.
A new posting is always saved as a draft. You change its status only from the row's actions menu.
Move the posting through its lifecycle
Open the actions menu on the row. It offers only the moves allowed from the current status:
Status | Available actions | Result |
|---|---|---|
Draft | Submit for approval, Cancel posting | Goes to Pending approval |
Pending approval | Approve, Cancel posting | Goes to Approved; the approver and time are recorded |
Approved | Publish, Cancel posting | Goes to Published |
Published | Close, Cancel posting, Add job application | Open to applications |
Closed | Reopen | Published again from today |
Cancelled | none | Final |
What happens next
Applications can be filed against a posting that is approved or published and whose deadline has not passed. Add job application opens the applications screen with this posting already selected.
The Hired / vacancies column counts the applications converted into employees. When the last vacancy is filled, the system closes the posting automatically so it stops taking applications.
The Screened / Total column shows how many applications have a screening score out of all applications received.
Approved and published postings appear in the talent matcher.
Common questions
Why is Publish missing from the menu? The posting has not been approved yet. Submit it for approval, and have it approved, first.
Can I hire more people than the posting's positions? No. Converting an application is refused once every vacancy is filled. Increase Positions on the posting to hire more.
What happens if I remove all required skills? The posting still works, but the talent matcher has nothing to score candidates against.
