The skills matrix answers staffing questions quickly: who can run this machine, who speaks this language, who is ready to train others. You keep a catalogue of skills, record each employee's level, and the matrix shows the whole team in one colored grid. The same data drives the gap analysis and talent matching.
Open the screen
Open People › Employees › Skills Matrix & Training ROI. The screen has five tabs: Matrix, Skills, Training, Gap Analysis and Training ROI. This article covers the first, second and fourth; training and its return are covered in training records and ROI.
Define your skills
Open the Skills tab and select New Skill.
Enter the Skill name and the Skill (Arabic) name.
Add a Category, such as Technical, Language or Safety, and a Description.
Choose the Proficiency Type: Yes / No for a skill a person either has or does not have, or Level (1–5) for a graded skill.
Keep Active on and select Save.
Use Search skills… to find a skill and Edit in the row menu to change it. Switch a skill off instead of deleting it when you no longer use it: inactive skills drop out of the matrix but keep their history.
Record an employee's proficiency
On the Skills tab, select Assign Proficiency.
Choose the Employee and the skill.
Set the Proficiency Level from 1 (beginner) to 5 (expert).
Optionally enter the Acquired Date and Notes, then select Save.
A confirmation message appears after saving. Assigning a skill the employee already has updates the level instead of adding a second line, and the system stamps today as the last assessment date.
Read the matrix
The Matrix tab is a grid of active employees (rows, with their department) against active skills (columns, grouped by category). Each cell shows the level, colored from light for 1 to dark green for 5, with a dash where the employee has no level. The legend Proficiency level: at the top explains the colors.
If there are no active skills or no active employees yet, the tab shows No skills or employees to display.
Gap analysis
The Gap Analysis tab compares the employees assigned to planned and in-progress work orders with the minimum skill level each work order requires. Every employee below the required level appears with the Skill, their Current level, the Required level and the Work Order. When everyone meets the requirements, the tab shows No skill gaps against current work orders.
The system refreshes the gap list each time you open the tab. A gap is closed when a training record for that employee and skill is marked completed.
Common questions
Why does an employee not appear in the matrix? Only active employees are shown. Check the employee's status.
Can I record a skill for many employees at once? No. Assign proficiency one employee at a time. Each assignment takes a few seconds and keeps an accurate assessment date.
