A candidate is a person you are considering for a job, stored once however many vacancies they apply to. The candidate record holds who they are and what they bring; each vacancy they apply to becomes a separate job application. Keeping one record per person means their history, skills and any blacklist decision follow them to every posting.

Before you start

  • To apply a candidate to a vacancy in the same step, the job posting must be approved or published, with an application deadline that has not passed.

  • Skills are picked from the skills catalogue. If a skill is missing, add it in the skills matrix first.

Add a candidate

  1. Open People › Talent › Candidates.

The candidates list with current company, source, status and the job ads each person applied to
  1. Select Add candidate.

  2. Enter the first and last name in English and, if you have them, in Arabic. Enter the Email, which is required, and the Phone.

  3. Fill in the Current company, Current position and Expected salary, plus the years of experience and highest qualification.

  4. Choose the Source: website, email, referral, LinkedIn, job board, recruitment agency, walk-in or other. For a referral, record who referred the candidate.

  5. Under Skills, pick the candidate's skills from the catalogue. The talent matcher compares these skills with each vacancy's requirements.

  6. Optionally choose Apply to job posting. The system then files the job application at the same time, so the vacancy counts this candidate immediately.

  7. Select Save.

If you chose a vacancy that is not open, or whose deadline has passed, the system refuses the save and keeps nothing, so you never end up with a half-filed candidate.

Track the candidate's status

The Status column in the list is a selector. Change it as the person moves through your process. The statuses are New, Screening, Interviewing, Shortlisted, Offered, Hired, Rejected and Withdrawn. When you convert one of the candidate's applications into an employee, the system sets the candidate to Hired on its own.

The candidate status is the person's overall position. Each application keeps its own, more detailed status, so a candidate rejected for one role can still be shortlisted for another.

Blacklist a candidate

  1. Open the row's actions menu and select Blacklist.

  2. Enter the Reason. It is required, because a blacklist outlasts whoever set it and must be explainable later.

  3. Confirm. The list shows the candidate as Blacklisted.

A blacklisted candidate cannot be put forward for any vacancy: new applications for them are refused. To review the decision, select Blacklist details to see the reason and the Blacklisted on date. To lift it, select Remove from blacklist, which clears the reason and the date.

View, edit or delete

  • View opens Candidate details, including Job ads applied to with the status of each application.

  • Edit changes the candidate's details. It does not change existing applications.

  • Delete removes the candidate after you confirm. This cannot be undone.

Common questions

Can I upload a CV here? Record the candidate's details and skills on this screen. Attach supporting files to the employee record after hiring.

Why does the matcher give my candidate a low score? The external match compares skill names only. Make sure the candidate's Skills use the same catalogue names as the vacancy's required skills.
