Register your phone for attendance, or move to a new one

Attendance is recorded from one phone per employee. See how a phone becomes yours, what HR approves, and what to do when you change or reinstall your phone.

To stop colleagues from punching for one another, the employee app records attendance from one phone per employee. You can still sign in elsewhere to read your payslips or request leave; only clocking in and out is tied to your phone.

How your phone becomes yours

Your company chooses one of two ways:

  • Automatic (the usual case). The first phone you clock in from is linked to you. Nothing to do: your first punch registers it.

  • Approved by HR. When your company requires registered phones, the Attendance tab shows Register this phone. Select Register this phone. The app sends the phone's model and operating-system version so HR can recognise it. Until HR approves, the tab says Waiting for HR to approve this phone. You will be able to clock in once they do. Select Check again after HR tells you it is done.

Registering does not give anyone access to your location. The app reads your location only at the moment you clock in or out.

See your registered phone

  1. Open Profile and select My devices.

  2. The list shows your phone marked This phone, with its Operating system, the date it was Enrolled, when it was Last used and the App version.

When you change phones

  1. Ask HR to remove your old phone from their attendance devices screen.

  2. On the new phone, install the app, sign in and clock in. The new phone is linked at that first punch, or waits for approval if your company requires it.

Until the old phone is removed, a punch from the new one is refused with a message asking you to have the old device removed. HR does not see a request for the new phone in that case, so tell them.

When HR blocks a phone

If HR has revoked your phone, the tab says HR has revoked this phone. Contact them before trying to clock in. A blocked phone cannot punch until HR removes the block or links another phone.

What HR does in the office

HR manages phones in the attendance devices screen of the HR module: approving pending phones, removing a phone so the employee can link a new one, and blocking a lost or misused phone. Removing a phone does not change any attendance already recorded. See attendance devices.

Common questions

Can my manager clock in for me on their phone? No. A phone is linked to one employee, and a punch from another person's phone is refused.

My phone was stolen. What should I do? Tell HR at once so they block it, then link your new phone as described above.
