Employee self-service app

Clock in without a signal

A punch made with no connection is kept on the phone and sent on its own when the signal returns, recorded at the time you pressed the button. See the limits and what to do if one is refused.

Basements, construction sites and remote branches often have no signal. The employee app does not make you wait for one: you punch as usual, the phone keeps the punch, and it is sent by itself as soon as there is a connection.

Punch with no connection

  1. Select Clock in or Clock out as usual. The phone still needs to find your location, which works without mobile data.

  2. If there is no connection, the app keeps the punch and shows 1 punch held on this phone: "You had no connection. It is saved here and will be sent automatically as soon as you have signal - you do not need to punch again."

  3. Carry on with your day. When the phone has signal again, the punch is sent without you doing anything, and the message disappears.

Each punch carries a key the system recognises, so a punch sent twice after a weak connection is recorded only once.

Which time is recorded

The punch is recorded at the time you pressed the button, by the phone's clock, on the day it was made - not the time it reached the server. In your attendance history it is marked Punched with no signal, sent later, and HR sees when it was received.

A site's entrance code is checked against the time you scanned it, so a code scanned offline is still valid when it arrives later.

Limits

  • More than 15 minutes late. A punch that arrives more than 15 minutes after it was made is still recorded at its real time, but it is also placed in HR's punch review, with an alert to HR.

  • More than 72 hours old. A punch that has not reached the server within 72 hours is not recorded. Open the app with a connection at least once a day.

  • Refused for a reason HR must handle. A punch is also refused when its day falls in a payroll period that has already been processed, is before your joining date, or is a clock-out earlier than the clock-in.

When a punch is refused

The app keeps a refused punch on the Attendance tab under A punch could not be recorded: "The server refused it. Show this to HR so they can record it for you", followed by the punch, for example clock-in at 08:02, and the reason.

  • Select Send again if you think the problem is fixed, for example after HR approved your phone.

  • Select Remove to clear it. The app warns: "It was not recorded on the server and will not be sent again. If you worked this time, ask HR to record it for you."

Tips

  • Keep the phone's date and time set automatically. A punch made on a phone with a wrong clock is flagged to HR.

  • Do not punch again while a punch is held on the phone. The app has already saved it.

  • If you work offline for several days, step outside or connect to Wi-Fi at least once a day so your punches are sent within the 72-hour limit.

What HR sees

Punches sent later appear in the attendance screen at the time they were made, with their arrival time. Those that arrived very late appear in punch review, where HR accepts or rejects them. See punch review.
