Price quote requests and issue quotations from the phone

Pre-sales claims and prices quote requests on the phone; the rep turns a priced request into a sales quotation with items, price list and discounts, without going back to the office.

Quote requests connect the rep who knows what the customer wants with the pre-sales team that prices it. The field sales app lets both sides do their part from the phone, and the result is a real sales quotation in the system.

Before you start

  • Pricing a request needs the permission to manage quote requests (pre-sales). Converting a request into a quotation needs the permission to add quote requests (the rep).

  • To build a quotation, your user needs access to the price lists and the warehouse it sells from, as on the web.

The quote requests list

Open Quotes (under More if it is not in the bottom bar). The list has two views:

  • Unclaimed: requests nobody has taken yet, marked Nobody yet;

  • Mine: requests you claimed or raised.

Each request shows its status - Waiting for quotation, Processing or Quoted - the Opportunity, who Raised by and Claimed by, and the Estimated amount. When the list is empty it says Nothing waiting.

Pre-sales: claim and price a request

  1. Open a request in Unclaimed and read What was asked for and the Documents.

  2. Select Claim this. The request moves to Processing and to your Mine view. From now on only you, or a supervisor, can price it.

  3. When the price is ready, select Provide a price, enter the Estimated amount and confirm. The request becomes Quoted and the rep sees it.

To decline a request, select Reject and give the Reason.

When your company prepares formal offers, the request also shows the Quoted offer with its revision, the Technical offer and Financial offer documents, and Valid until.

Rep: turn the priced request into a quotation

  1. Open the request when it is Quoted and select Convert to a quotation.

  2. The New quotation screen opens with the Customer and, when an offer answered the request, its items already filled.

  3. Check or choose the Price list, the Warehouse, the Terminal and Valid until.

  4. Under Items, select Add an item and Search the catalogue to add more. For each line you can change the Qty, the Price and the Discount; a changed price shows Price set by hand.

  5. Add a Whole-document discount if needed. The screen shows the Subtotal, Tax and Total.

  6. Select Save quotation.

The app shows Saved as quotation # with the quotation number, and the request now reads Converted to quotation # with the same number. The quotation is a normal sales quotation: the office can print it, send it and turn it into an invoice.

Changing the customer or the price list re-prices the lines; the app reminds you of this on the screen.

Ask for a new price

If the price needs to change before you issue the quotation, select Request revision, describe What should change and send it. The request goes back to pre-sales as Waiting for quotation and is marked Revision requested.

Common questions

Can I build a quotation from scratch on the phone? The app builds quotations from quote requests. For a quotation without a request, use the sales screens on the web.

Does saving the quotation need a connection? Yes. Quotations are priced by the system at the moment you save, so a connection is required.
