Record the hours worked on projects

Record each employee's hours on a project and task, a whole crew's day at once, send them for approval and approve or reject them, so the month's labour can be charged to the projects.

A timesheet says who worked on which project, on which task and day, and for how many hours. Approved hours are what the monthly labour costing charges to each project, so the project's labour cost follows the work actually done on site.

The timesheets list with hours by employee, project and day, and their approval status

Add hours

  1. Go to Projects > Timesheets and select Add hours.

  2. Choose the employee. Leave it on Me for your own hours. Entering hours for someone else needs permission to approve timesheets.

  3. Choose the project and, if the work was on a part of it, the task.

  4. Enter the day, the Hours and any Overtime, and a note if useful.

  5. Save it as a draft, or select Send for approval.

An employee's hours on one day cannot add up to more than 24, across all projects.

Employees can also book their own hours from the employee app. See book your hours and settle your custody from the app.

Enter a crew's day

A foreman or site engineer can enter a whole crew at once:

  1. Select Crew day and choose the crew. Its members appear with 8 hours each.

  2. Choose the project and task, and the day.

  3. Change the hours of anyone who worked more or less, or set them to 0 for someone absent.

  4. Select Send for approval. Each member gets their own timesheet.

To set up crews, see crews and daily workers.

Approve or reject

  1. Filter the list by status to show the hours awaiting approval, and by project or date if needed.

  2. Tick the rows and select Approve, or Reject and give the reason. The person who entered the hours sees the reason, corrects them and sends them again.

You cannot approve hours you entered yourself; someone else with permission to approve timesheets does. While hours await approval, whoever entered them can select Take back to change them.

Locked hours

Once a month's labour is charged to the projects, its approved hours show Charged to the project and can no longer change. A daily worker's hours paid through payroll show Paid as a daily wage. To correct charged hours, reverse that month's costing run first. See charge labour and equipment to projects.

Common questions

Who can see whose hours? Everyone sees the hours they entered, and My hours only shows just your own. People who approve timesheets see everyone's.

Can I delete hours? Only a draft or rejected timesheet can be deleted.
