When the system shows one quantity and the shelf shows another, the item card tells you what happened. It is the stock ledger of a single item: every purchase, sale, return, transfer and adjustment, in order, with the balance after each one.

Steps

  1. Open Reports & Analytics › Item Reports › Item Card.

  2. In Item ID, search for and choose the item. It is required; until you choose it the screen shows Select the required filter to run this report.

  3. Set the period in From and To.

  4. Optional: choose a Warehouse to follow one location. Empty means all warehouses.

  5. Optional: in Unit, choose Default unit or Biggest unit. Quantities are converted to that unit.

  6. Select Apply.

Two lines under the table frame the period: Previous balance, the quantity on hand before From, and Final balance, the quantity after the last movement.

Find the cause of a difference

  1. Run the card from the date of the last correct count to today.

  2. Check that Previous balance matches that count.

  3. Read down the Balance column and look for the line where it stops matching reality: a sale recorded in the wrong warehouse, a transfer not received, or a quantity entered in the wrong unit.

  4. Once found, correct it at the source, or adjust the quantity and review it in the stock count report.

Export

Use Export Excel or Export PDF to keep the card with your count records.
