After a stock count, storekeepers correct quantities with Inventory › Items › Modify Item Quantity. Each correction changes the value of your stock, so managers and auditors need to see them. This report is that record.

Steps

  1. Open Reports & Analytics › Item Reports › Stock Count Report. The page title is Quantity-edit audit.

  2. Set the period in From and To. Empty means the current month.

  3. Select Apply.

The columns

Column

Meaning

Item

The adjusted item.

Branch, Inventory

Where the adjustment was made.

Before, After

The quantity before and after the change.

Variance

After minus Before. Negative means stock was written off.

Cost Value

The value of the variance at cost.

By, Date

Who made the change, and when.

The totals row shows the total Cost Value of all adjustments in the period. A large negative total is the cost of shrinkage, damage or counting errors for the period.

Review checklist

  • Sort or export by Variance and question the largest adjustments first.

  • Look for the same item adjusted several times in a short period: it often hides a process problem, such as sales recorded in the wrong unit.

  • Check that only the people responsible for counts appear in By.

  • Trace any doubtful adjustment in the item card.

Export

Use Export Excel or Export PDF and attach the file to the signed count sheet.

Common questions

Are quantities changed by sales, purchases or transfers listed here? No. Only manual changes made with Modify Item Quantity appear. Every other movement is in the item card.

Why is Cost Value zero for some lines? The item had no cost price when the change was made. Enter the item's cost so that future adjustments are valued correctly.
