Create and manage branches

Add a branch with its contacts and address, decide whether it may sell beyond the stock on hand and set a minimum markup over cost. Each branch gets its own copy of the chart of accounts.

In Rocket ERP a branch is more than an address. It is an accounting unit: when you save a new branch, the system copies the company's chart of accounts into it, so the branch can post invoices, receipts and vouchers from its first day. Users, warehouses, cash boxes, fiscal years and settings all belong to a branch.

Before you start

  • Your subscription allows a set number of branches. When you reach it, the system refuses the new branch and names the limit. Deactivate a branch you no longer use or upgrade your plan.

  • Create the user who will manage the branch if you want to select them as its manager.

Create a branch

  1. Open Administration › Organization › Branches.

  2. Select New branch. The form opens on its own page.

  3. Under Branch details, enter the Name and, optionally, a short Code, the Mobile and Landline numbers and the branch Manager.

  4. Choose the Country, State and City, and type the Address.

  5. Under Options, set the branch policies described below.

  6. Select Save, then Back to list.

The branch policies

  • Selling beyond the stock on hand decides what happens when an invoice asks for more than the warehouse holds:

    • Block — never sell more than is in stock.

    • Warn — alert and cap the quantity at the stock: the user is warned and the quantity is reduced to what is available.

    • Allow — sell even without stock: the stock may go negative. Use this only if you record purchases after the sale.

  • Revenue percentage limit is the minimum markup over cost, in percent. A selling price below cost plus this percentage is refused on the sales invoice. Enter 0 to switch the check off.

  • Stock out directly after sale: when on, saving a sales invoice takes the goods out of stock at once. When off, the goods leave stock through a stock withdrawal request that the storekeeper completes.

After you save

Open the branch again with Edit. A GL accounts section appears under the form: choose the branch's default accounts there and select Save GL accounts. The system uses them for every automatic posting of the branch. See Set a branch's default GL accounts.

Then add its warehouses and its sales invoice settings.

Deactivate a branch

Branches are never deleted, because their postings stay in the books. Open the row's actions menu, select Deactivate and confirm. The branch shows as inactive and is no longer offered for new work.

Common questions

Why does the branch policy also appear in the sales invoice settings? It is the same setting. You can change it from either screen; both read and write the branch's value.

Can two branches share a chart of accounts? No. Each branch has its own copy, so you can report each branch on its own and add accounts to one branch without affecting the others.
