Every quantity in Rocket ERP sits in a warehouse, and every warehouse belongs to a branch. A warehouse also has its own stock account in the chart of accounts, so the value of what it holds shows separately in the books.

Before you start

  • Create the branch first.

  • Create the user who will be the storekeeper, if you want to assign one.

Add a warehouse

  1. Open Administration › Organization › Inventories.

  2. Select Add warehouse.

  3. Choose the Branch and type the warehouse Name.

  4. Choose the warehouse Type. The type decides where its stock account is created in the chart of accounts (see below).

  5. Choose the Stock keeper: the user responsible for this warehouse.

  6. Enter the Order: the position of the warehouse in pick lists, starting from 0.

  7. Under GL account, choose how to set the warehouse's stock Account:

    • Create a new account: the system creates a stock account for this warehouse under the right parent account of the branch.

    • Link an existing account: choose an unused account in Existing GL account. The list offers only accounts of the chosen branch that suit the warehouse type and are not yet linked to another warehouse.

  8. Optionally add a Description and Notes, then select Save.

Warehouse types

  • Raw materials: materials that manufacturing consumes.

  • Work in progress: goods on the production floor.

  • Finished goods: products ready for sale.

  • Spare parts: parts for your own machines and vehicles.

  • Scrap: waste and rejected goods.

  • General: a normal trading warehouse. Choose this if you do not manufacture.

Edit a warehouse

Open the row's actions menu and select Edit. You can change the branch, name, storekeeper, order, description and notes.

What happens next

The warehouse appears in every screen that moves stock: purchase invoices, sales invoices, transfers, stock counts and manufacturing. Its value is posted to its own account, and the Account code column of the list shows which account that is.

Common questions

"No unused account is available for this branch and warehouse type." Every suitable account is already linked to another warehouse. Choose Create a new account, or ask your accountant to add an account to the chart.

Creating the account failed for a manufacturing type. The branch's chart has no parent account for that type. Ask your accountant to add the parent account to the branch's chart of accounts, then try again.

Which warehouse do new sales invoices use? The one set as Inventory in the branch's sales invoice settings.
