When a cashier or salesperson opens a new sales invoice, several fields are already filled in: the warehouse, the customer, the price list and more. Those values come from the branch's invoice settings. Each branch has exactly one settings row, and it saves everyone in that branch from choosing the same values on every invoice.
Before you start
Create the branch's warehouses, delivery users, price lists and point-of-sale terminals first, so they appear in the pickers.
Create the branch's settings
Open Administration › Configuration › Sales Invoice Settings.
Select New setting and choose the Branch. A branch that already has a row cannot get a second one; edit the existing row instead.
Fill in the defaults and switches described below. Every default is optional: choose None to leave a field empty on new invoices.
Select Save.
Defaults for new invoices
Field | What it pre-fills |
|---|---|
Inventory bullet | Per item: each invoice line has its own warehouse. For all items: one warehouse for the whole invoice. |
Inventory | The warehouse new invoices take stock from. |
Customer | The customer selected on a new invoice, typically your walk-in cash customer. |
POS | The point-of-sale terminal. |
Price list | The price list used to price the lines. |
Delivery user | The driver selected for delivery. |
Payment terms | The payment term, which sets the due date. |
Default item unit | Whether lines start in the item's Minor unit or Major unit. |
The pickers list only the warehouses, terminals and other values of the branch you are configuring. Users can still change any pre-filled value on the invoice itself.
Behaviour switches
Invoice discount basis: whether a discount on the whole invoice is taken Before tax or After tax. A branch that files e-invoices must use Before tax; the system refuses a switch back to after tax while e-invoicing is live for that branch.
Auto stock withdraw request: when Yes, saving a sales invoice also creates a stock withdrawal request for the storekeeper.
Print stock withdraw request: when Yes, that request is printed as well.
Selling below available stock: the branch's stock policy, the same setting as on the branch: block and cap at the stock on hand, warn and cap, or allow negative stock.
Allow POS sales while offline: whether the branch's terminals may keep selling when the connection drops and send the sales once it is back.
Edit or delete the settings
Open the row's actions menu and select Edit to change a value, or Delete to remove the row permanently. Without a row, new invoices of that branch open with empty defaults.
Common questions
New invoices open with the wrong warehouse. Check the Inventory and Inventory bullet values of that branch's row.
I cannot choose "For all items" without a warehouse. With one warehouse for the whole invoice, the invoice needs that warehouse. Pick a default Inventory here, or choose it on each invoice.
