A transfer moves stock from one warehouse to another, inside your branch or to another branch. It happens in two steps: you send the goods, and the destination receives them. Until then the goods are in transit.

Before you start

  • The source must be a warehouse of the branch you are working in.

  • The items must have enough available stock in the source warehouse.

Send a transfer

  1. Open Inventory › Transfers › Item Transfer. The Item transfers list shows every transfer sent from or received by your branch.

  2. Select New transfer. The Create item transfer page opens.

The Create item transfer page with the source and destination warehouses and the item lines
  1. Choose the From warehouse and the To warehouse. They must differ.

  2. In the first line, search for the Item. The search covers the source warehouse only, and the line shows how much is available there, for example Available: 120.

  3. Choose the Unit and enter the Quantity. When the unit is not the base unit, the line shows the conversion, for example Moves 36 base units.

  4. Select Add item for each further item.

  5. Select Save. The message Item transfer created confirms it and you return to the list.

The form refuses a line that asks for more than is available in the source, before anything is saved.

Follow a transfer

  • In the list, the Received column shows whether each transfer has arrived.

  • Select the Transfer no. to open it. The page shows its status (Pending, Received or Voided), who created it, who received it and when, and each line with its unit, quantity and Base quantity.

  • Inventory › Items › Pending Sent Items opens the same list of transfers, so the sending branch can chase what has not arrived.

Common questions

My stock dropped but the other branch has not got it. The transfer is waiting to be received. Ask the destination branch to receive it.

I sent the wrong quantity. Ask the destination to receive the transfer, then send a second transfer for the difference in the right direction.

Why can't I find an item in the line search? The search shows items from the source warehouse only. Choose the From warehouse first, and check that the item has stock there.
