Receive incoming transfers

Confirm that transferred goods have arrived, so they enter the destination warehouse and their value moves between the warehouse accounts.

A transfer is complete only when the destination confirms it. Receiving is a separate permission from sending, so a storekeeper can receive goods without being able to send them.

Before you start

  • Count the goods that arrived and compare them with the transfer.

  • Work in the destination branch. Only the branch that owns the destination warehouse can receive a transfer.

Steps

  1. Open Inventory › Transfers › Items Received. The Receive Transfers page lists the inbound stock transfers awaiting your receipt, with the source and destination warehouses, the number of lines, the note and the date.

The Receive Transfers list with pending transfers and their Receive action
  1. To check the lines first, open the row menu and select View.

  2. Open the row menu and select Receive.

  3. Read Confirm receipt. It reminds you that the items enter the destination warehouse and stock is updated. Select Receive.

  4. The message Transfer received confirms it and the transfer leaves the list.

What happens when you receive

  • Every line enters the destination warehouse in its base quantity.

  • The movement log of each item records the receipt against the transfer.

  • The system posts the value of the goods, quantity times cost price, from the source warehouse stock account to the destination warehouse stock account. Between branches, each branch's books carry its side of the entry.

  • The transfer's status becomes Received, with the name of the person who received it and the time.

If the goods do not match

The receipt accepts the whole transfer as sent. If part of it is missing or damaged:

  1. Receive the transfer.

  2. Count the destination warehouse and correct it with a quantity adjustment, or send the damaged goods back with a new transfer.

Common questions

The list shows a transfer that my branch sent. The list includes pending transfers on both sides of your branch. Only the destination branch can receive; if you are the sender, ask the destination to receive it.

I received a transfer by mistake. A received transfer cannot be reopened. Send the goods back with a new transfer in the opposite direction.

Why doesn't the destination stock appear yet? Stock enters the destination only when someone receives the transfer here.
