Price lists are assigned per user. This lets you keep, for example, wholesale prices away from counter staff. A user sees only their assigned lists in the Price list field of sales invoices, quotations and the POS register, and bulk price changes only touch lists the user is assigned to.
Before you start
You need the permission to assign users to price lists.
The price lists exist. See Create a price list and set item prices.
Assign price lists to a user
Open Sales › Pricing › Assign Users to Price Lists.
Under New assignment, choose the User in Select a user.
Tick the price lists the user may sell from, or tick All price lists. Lists the user already has are marked assigned and cannot be ticked again.
Select Assign. The message User assigned to price lists appears.
Review and remove assignments
Below the form, the table lists assignments by User and Price list. When a user is selected, it shows This user's price lists. Otherwise it shows All assignments.
To take a list away from a user:
Select the delete button on the row.
Confirm Remove "{list}" from {user}?.
The list disappears from that user's sales screens the next time they open one.
Who needs which lists
Every user who creates sales invoices, quotations or POS sales needs at least one list. Without one, they cannot save a sale.
If your branch's sales settings choose a default price list, assign that list to everyone who sells in the branch, or the default will not be offered to them.
Users who reprice lists in bulk need to be assigned to every list they change.
Common questions
Does an administrator need assignments too? Yes. The Price list field on sales screens is built from each user's own assignments, whatever their group.
Does removing an assignment change saved invoices? No. It only affects new documents.
